Know who owes what — and what’s been done.
Every tenant over your materiality thresholds is flagged, aged and split into rent and ancillary charges. Each account carries its notices served beside its commentary, and any tenant in arrears can raise an action in one step — so the arrears line in the report comes with its follow-through attached.
| Tenant | Rent Due | Ancillary | Total | Oldest |
|---|---|---|---|---|
| Acme Logistics | $96.3K | $18.4K | $114.7K | 90+ |
| Prairie Freight | $33.0K | $8.8K | $41.8K | 61–90 |
| Bow River Supply | $22.1K | $6.4K | $28.5K | 61–90 |
Arrears your asset manager can read in a minute.
Who owes, how much, how old, what’s been served and what’s being done about it — on the account, in the period, beside the commentary. Not an aging export with notes in the margin.
Flagged against your thresholds
Materiality thresholds decide who’s flagged, so the list is the tenants that matter — not every $40 late fee in the ledger.
Summary and Detailed Aging
The aging buckets at a glance in Summary, or every balance by age in Detailed Aging — the same figures, two depths.
Rent apart from ancillary
Total Due splits into Rent Due and Ancillary Due, beside the Total Arrears Rate and Recovery Rate — so a disputed recovery bill doesn’t read like unpaid rent.
Notices on the account
Every account has a card listing the notices served, with dates, right beside its commentary box. The history travels with the tenant.
Raise an action
From any tenant in arrears, raise an action. It joins the asset’s register and carries forward, period after period, until someone closes it.
Lien deadlines for condominiums
Condominium assets get lien-deadline bands for their Canadian province, so the window to register a lien is in view before it closes.
What’s owed, what’s been served, what happens next.
Open any flagged tenant and the account card sits beside its commentary box: Rent Due and Ancillary Due, the aging, the lease expiry, and every notice served with its date. Write the note where the numbers are. If it needs follow-through, Raise an action — it lands on the asset’s register and comes up at the next review.
- Notices served, dated, on the account — not in someone’s inbox.
- Commentary per tenant, in the Accounts Receivable section of the period report.
- Raise an action from any tenant in arrears, with its due date and owner.
| Notice served | Date | Delivered |

| Arrears notice | 2026-09-03 | Registered mail |
| Demand letter | 2026-10-02 | Hand delivered |
Escalation and repeat late payers, flagged with evidence.
Two red flags watch arrears on the Asset Scorecard. Arrears escalating catches a balance that keeps climbing; Repeat delinquents catches the tenant who’s back on the list period after period. Each carries the figures that raised it. For condominiums, lien-deadline bands keep each unit’s window in view by province.
- Arrears escalating and Repeat delinquents, each with its evidence.
- Lien-deadline bands for condominiums, for Canadian provinces.
- Missing an arrears project? An admin can create it in RealTime from Insights.
| Unit | Owing | Lien deadline |
|---|---|---|
| Unit 1204 | $3,850 | Under 30 days |
| Unit 0807 | $2,140 | 30–60 days |
| Unit 0311 | $1,320 | Over 60 days |
An agent files the notes. You approve them.
Insights AI reads flagged tenants, aging and notices alongside the period’s figures. And because the MCP server is open to any AI, an agent can take the property accountant’s AR aging report and file each tenant’s note in its commentary box — matched by lease code, shown to you before it saves. Agent writes stay off until an admin switches them on.
- Notes, not numbers — the agent transcribes the accountant’s notes; every figure stays your system’s own.
- Writes are admin-enabled — off by default, exactly the user’s access, every save in the audit log.
- Any AI — Claude, ChatGPT, Gemini, Copilot and other MCP clients.
