Period Reporting

Lock the numbers, write the story, publish the record.

Each period Insights opens a report for every asset that owes one. Your team locks each module’s figures on the Close Process board, writes the commentary section by section and sends it for approval — then Publish freezes it as the period’s record. No spreadsheets passed around, no PDF stitched together the night before the owner meeting.

What it does

One close, from first figure to final record.

The figures, the commentary, the sign-off and the owner’s pack live on the same report — so the number in the narrative is the number that was locked.

Lock each module when it’s final

Financials, Arrears and Leases close with month-end. Occupancy, CapEx, Valuations, Debt, ESG and Metrics close when their owner calls them final. A section opens for commentary once its figures are locked.

Commentary, section by section

Seven report groups — Property, Financial, Operational, Capital Projects, Accounts Receivable, Leasing and Sustainability. Every section has a writer, an approver and a due date on Deadlines.

Approval with a trail

Submit for review, Send back with a note, or Approve all in one pass. Where you’d rather skip the approver, Mark complete finishes a section in one step — set per environment, portfolio or asset.

Numbers changed — review

Close a module again with different figures and every section written against the old ones says so. The commentary stays editable; re-saving it clears the notice.

Publish, with a completeness check

Publish checks every required section, locks the report as the period’s record and freezes its Scorecard. Missed something? Unpublish reopens it.

Documents and packages

Your WordMerge templates produce the owner’s Word report, with a PDF if you want one. Package bundles it with the supporting reports — as a ZIP or one combined PDF with a contents page.

Close to publish

See every section, on every asset, by status.

Commentary Progress lays the period out as sections against assets. Writers submit; approvers clear what’s ready with Approve all and send back what needs another pass. Due dates sit on Deadlines, so a late section is visible before it’s late for the owner. When it’s all in, Publish runs its completeness check, locks the record and freezes the Scorecard.

  • Submit for review, Send back, Approve all (N) — the whole sign-off in three buttons.
  • “Numbers changed — review” when a locked module is closed again with different figures, and editors are told.
  • Sum checks compare the totals the RealTime engine sends with the CapEx and arrears lines beneath them, and flag any that don’t add up.
  • Published means published: the period’s record and its Scorecard stop moving. Unpublish if you must reopen it.

Documents & packages

The owner’s pack, built from the record.

Generate the owner’s report from your own WordMerge Word templates — Word, PDF or both. Then Package gathers it with the period’s supporting reports: a ZIP, or one combined PDF with a linked contents page, ready to read, print or forward. You set the standard supporting reports once; each period the package shows what it carries and flags what hasn’t been filed.

  • A document generated before Publish is marked draft, in its name and in your documents list.
  • Each supporting report shows whether it travels with the package, and why — include or leave out any file.
  • Portfolios and asset groups get their own commentary, their own close and their own package.

Run close

Take the whole book through close at once.

Run close asks one question — how far do you want to take the period? — and answers it for every asset in the run: lock this module group, save draft figures for that one, skip the rest. Switch on Insights AI and it drafts recommended commentary for what you lock. Each area waits for its own figures, and the executive summary waits for all of them, so a draft never describes a number that hasn’t arrived.

  • Figures come live from the RealTime engine; refresh or unlock any module before Publish.
  • Drafts land above each comment — summary, recommendation, suggested actions — for the writer to edit and accept.
  • Every figure in a draft is cited and checked before Accept. Nothing reaches the commentary until someone accepts it.

Insights AI in Period Reporting

Drafts that show where every number came from.

Insights AI drafts commentary during Run close, beside the editor through Insights AI Assist, or on demand with Redraft commentary… in Standard, Deep or Hybrid mode. Every figure it quotes is cited — “Show where these figures came from” opens the source — and checked before you accept. Ask where the close stands and it reads the board for you.

  • Cited, then checked — a figure that doesn’t tie out is flagged before you accept the draft.
  • Your voice — admins set it: manager-to-owner by default, owner reviewing manager, or owner-operator.
  • Your AI, too — the same close status and commentary over MCP; agents write commentary only once an admin allows it.
